# Sigma HMIS Plans, Billing, and Subscription Management

> Learn how Sigma Health HMIS subscription plans work, how billing is calculated, and how to manage upgrades, downgrades, and cancellations.

Sigma HMIS pricing is tailored to your clinic's size and usage — based on the number of locations, claim volume, and which modules you need. There is no one-size-fits-all plan, and you will never pay for capacity or features your clinic does not use.

## How Pricing Works

Sigma builds a quote around three variables specific to your clinic:

    Each active location in your workspace is factored into your plan. Adding a new site mid-cycle triggers a prorated charge for the remainder of your billing period.

    Your plan tier is sized to your expected monthly claim submissions. If your volume grows consistently beyond your tier, Sigma will work with you to adjust your plan.

    You can subscribe to Billing, Claims, and Payments individually or as a bundle. Most clinics benefit from the full suite, but single-module access is available.

**Billing cycles** — Sigma offers both monthly and annual billing. Annual plans are typically offered at a discount compared to the equivalent monthly rate. Your billing cycle is agreed at the time of contract and can be changed at renewal.

**Custom pricing** — Sigma does not publish a fixed price list. To receive a quote tailored to your clinic's locations, volume, and module requirements, contact the sales team at [hello@sigmaconnect.org](mailto:hello@sigmaconnect.org).

## Free Trial

You can start using Sigma HMIS without a credit card. The free trial gives you full access to all three modules — Billing, Claims, and Payments — so you can evaluate the platform against your real workflows before committing to a plan.

  During your trial, there are no feature restrictions. You can configure your clinic workspace, add schemes, invite team members, and process test records exactly as you would in production.

When you are ready to continue, or if you need more time to evaluate, contact [hello@sigmaconnect.org](mailto:hello@sigmaconnect.org). The sales team can extend your trial or convert it to a paid plan without any data loss or reconfiguration.

## Upgrades and Downgrades

Your subscription can be adjusted as your clinic grows or your needs change.

**Upgrades** take effect immediately. If you add a new location, increase your claim volume tier, or activate an additional module mid-billing cycle, the additional cost is prorated for the remaining days in your current period. You will see this reflected on your next invoice.

**Downgrades** — Removing a module, reducing your location count, or moving to a lower volume tier takes effect at the end of your current billing cycle. You retain full access to your current plan until that date.

## Cancellation and Data Export

If you decide to cancel your Sigma HMIS subscription, your data remains accessible for a defined window so you can export and archive your records.

    Contact your account manager or email [hello@sigmaconnect.org](mailto:hello@sigmaconnect.org) to initiate cancellation. Confirm your intended cancellation date in writing.

  <Step title="Export your data within 30 days">
    From the day your subscription ends, you have a **30-day window** to export all billing, claims, and payment records. Go to **Settings → Data Export** to download your records in CSV or structured formats.

  <Step title="Retain your export securely">
    Store your exported data in a secure location outside Sigma before the window closes. Once the 30-day period ends, your workspace data is permanently deleted and cannot be recovered.

<Warning>
  Export your data before the 30-day window closes after cancellation. After this period, permanent deletion cannot be reversed. Backup archives are overwritten on a 90-day rolling rotation and are not accessible for individual data recovery after your workspace is deactivated.

### What happens to your data after cancellation

| Timeline | Status |

| Day 0 — cancellation effective | Workspace enters read-only export mode |
| Days 1–30 | Full data export available; no new records can be created |
| Day 30 | Workspace data permanently deleted |
| Days 31–90 | Backup archives exist but are on rolling rotation |
| Day 90+ | All backup references overwritten; no recovery possible |

## Payment Failures and Grace Period

If a scheduled payment fails — for example, due to an expired card or insufficient funds — Sigma does not immediately suspend your account.

  Sigma offers a **7-day grace period** on failed payments before service is suspended. You will receive an email notification as soon as a payment failure is detected. Update your payment method in **Settings → Billing** as soon as you receive this notice to avoid any interruption to your team's access.

If you are unable to resolve a payment issue within the grace period, contact [hello@sigmaconnect.org](mailto:hello@sigmaconnect.org) — the team can arrange a brief extension in cases where the delay is due to a banking or administrative issue.
